Guidelines for Food Waiver Request

Food plays a very important role in many events that take place on the campus of Northwestern State University. Please read the following information to determine how to obtain food/beverage for the type of event that you are planning.

Catering

Sodexo Catering is the only caterer allowed to provide food for events on the Northwestern State University Campus with exception to the Alumni Center, Recreation Complex or any off campus client sponsored events.

Special Circumstances

Occasionally, events have special circumstances in which the catering options do not meet the needs of the event.  Below is a list of instances in which a Food Waiver Request is required from the event organizer:

FUNDRAISER/AUTHORIZED EVENT: Registered student organizations may conduct one food/beverage sale for fundraising purposes each semester.

DONATION:  Food/beverage item is being donated and given out at the event. Food/beverage items must be obtained from a reputable food manufacturer, supermarket.  Student organization is responsible for properly dispensing donated perishable food items requiring preparation, cooking, hot or cold storage in compliance with local and state health regulations.

SPECIAL MENU: A Food Waiver Request must be submitted if Sodexo Catering agrees that they cannot adequately provide the desired menu for the event or cannot prepare a special food or menu item.

GIVEAWAYS: Food/beverage item (including wrapped candy) will be handed out as a way to attract people to event or table. These items must also be purchased through a food manufacturer or supermarket unless homemade. Homemade items will be the responsibility of  the hosting student organization to ensure perishable food items requiring preparation, cooking, hot or cold storage are handled in compliance with local and state health regulations.

 A Food Waiver Request must be completed and signed by the Sodexo General Manager a minimum of 7 days prior to event date.

 * IMPORTANT: YOUR EVENT CANNOT TAKE PLACE WITHOUT AN APPROVED FOOD WAIVER REQUEST WHICH MUST BE DISPLAYED AT THE EVENT
